LANBear Privacy Policy

This Privacy Policy describes how LANBear ("LANBear," "we," "us," or "our") collects, uses, shares, and protects information in connection with the LANBear platform: the web-based management panels, the LANBear Client Agent, and LANBear Vault (together, the "Service").
1. Who This Applies To
Two different relationships exist here, and they're treated differently below:
- Gaming center owners and staff who create an account and use the Service directly. We're the data controller for this information.
- A center's own customers, the people playing on a center's PCs, whose name, phone number, or email a center's staff may enter for loyalty, tickets, or reservations. For this information, the center is the data controller and we act only as their data processor: we store and process it on the center's behalf and under their instructions, and we don't use it for our own purposes (like marketing) or share it with anyone outside the specific center that entered it.
2. Information We Collect
Account information
Name, email address, and optionally a phone number, when an owner or staff member registers or is added to a center. Owner and staff accounts sign in with a one-time email code rather than a password, so no password is ever stored.
Billing information
Subscription and payment processing is handled by Dodo Payments, our payment processor. We receive confirmation of payments and subscription status from them; we do not receive or store full card numbers ourselves.
A center's own customer data
Whatever a center's staff chooses to enter about their own customers through the Service, for example a name, phone number, or email for a loyalty account, prepaid ticket, or reservation. This is entered and controlled by the center, not by us; see Section 1.
Device and usage data
The LANBear Client Agent and LANBear Vault report operational data needed to run a gaming center floor: device identifiers, session start/end times, which games or applications were launched (by process name, not file contents), machine online/offline status, and diagnostic logs when something goes wrong. This data belongs to the operating center and exists to make the floor-management features of the Service work. It is not used to build advertising profiles.
Cookies
We use functional cookies only: a session cookie to keep you signed in, and a CSRF token to protect form submissions. We don't run third-party advertising or analytics trackers on the Service today; if that changes, this policy will be updated first.
3. How We Use Information
To provide and operate the Service; process payments and manage subscriptions; send transactional email (login codes, receipts, alerts you've configured) through our email delivery provider, Maileroo; provide customer support; secure the Service and investigate abuse; and comply with legal obligations. We do not sell personal information.
4. How We Share Information
Only with the service providers who help us run LANBear (payment processing via Dodo Payments, transactional email via Maileroo, and our infrastructure/hosting provider), each bound to use it only to provide their service to us; when required by law, subpoena, or to protect the rights, property, or safety of LANBear, our customers, or others; or with your consent. We do not sell personal information to third parties, and we do not share one center's customer data with another center.
5. Data Retention
We retain account and business data for as long as an account is active, and for a reasonable period afterward to comply with legal, tax, or accounting obligations. A center's own customer data is retained per that center's own settings and can be deleted by the center at any time through the Service. Contact us at support@lanbear.gg to request deletion of account-level data.
6. Data Security
We use industry-standard measures, including encryption in transit (TLS), access controls, and audited administrative access, to protect information. No method of transmission or storage is perfectly secure, and we can't guarantee absolute security.
7. Your Rights
Depending on where you're located, you may have rights to access, correct, export, or delete your personal information, or to object to or restrict certain processing, e.g. GDPR or CCPA. To exercise any of these rights, contact us at support@lanbear.gg. If your data was entered by a gaming center as their customer (Section 1), please contact that center directly. We act on their instructions for that data.
8. International Data Transfers
Our infrastructure is located in Singapore. If you access the Service from another country, your information may be transferred to and processed there.
9. Children's Privacy
The Service is intended for gaming center owners, staff, and their adult operations. It is not directed at children, and we do not knowingly collect personal information directly from children through account registration. A center's own customer records are that center's responsibility, per Section 1.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be notified through the Service or our website, and the "Last updated" date above will change.
